RolloutIQ uses one file system behind every part of the platform. Whether you attach a site photo to a project, a contract to a location, a document to a request for information, or a file to a comment, it uploads, previews, and downloads the same way. This article covers the everyday tasks: uploading, previewing, downloading, and sharing.
Files appear wherever the record they belong to lives. A project has a files area, a location has a files area, a request for information shows its attachments inline, and a comment can carry an attachment. The same controls work the same way everywhere. A file always inherits the permissions of the record it is attached to: if you can view the record, you can view its files; if you cannot, you cannot.
Open the record you want to attach to, such as a project, a location, or a request for information.
Drag a file onto the Drop files here area, or click Select files to choose one from your computer.
The file uploads directly to secure cloud storage. Large files are handled automatically, so a big drawing PDF uploads as reliably as a one-page document.
When the upload finishes, the file appears in the list. Images and PDFs generate a preview in the background, and a thumbnail replaces the placeholder once it is ready.
Click any file in the list to open the preview drawer. Images, PDFs, and common document types render inline.
The Details tab shows who uploaded the file and when, along with its size and type.
Click Download to save the file. Each download is recorded, and you can review the history on the Access log tab.
To download several files at once, use Download as zip, or Compile to PDF for a set of PDFs. RolloutIQ builds the bundle in the background and notifies you when it is ready.
Open the file and choose Share. You have two options.
Use an Internal link for teammates on your tenant. Anyone signed in can open it, governed by their existing permissions.
Use an External link for people outside your tenant. Set an Expires at date and, optionally, a Max accesses cap, then click Create external link. External links must expire, and you can end access early with Revoke link.
